Import Students from SchoolTool

Importing students from SchoolTool consists of two steps. 

First, you'll want to export students from SchoolTool by following the steps below:

  1. Download and save our report template (GET THIS TEMPLATE)
  2. Click Maintenance, Export, and then Custom Report
  3. At the top of the screen choose and upload the saved SchoolTool export template 
  4. Next, you'll want to name the uploaded file and press the green disk to save 
  5. As the file is saved, you may want to provide Authorization to appropriate personnel, such as SMS Superusers as well as other appropriate groups. Press the green disk to save.
  6. Click Maintenance, Export, and then Custom Report. Click the purple wedge next to the name of your export
  7. Click on the Preview Tab, the first 50 records will display
  8. Click the Export Button to save it as a CSV file

After you've exported the students from SchoolTool, you'll want to upload the report to Aktivate Scheduling by following the steps below:

  1. Be sure you are logged into your account on Aktivate Scheduling
  2. Click Students from the far left navigation bar
  3. On the top of the page, click Import Students --> SchoolTool
  4. Select the CSV file created from SchoolTool 
  5. If no errors were found, you'll be able to see your students imported to Aktivate Scheduling

NOTE:

  • There are four required fields. If data is missing from any of those four required fields, the system does not import the file and will display a descriptive error message.
  • Student_ID is the Key Date Field that will be used to match the previous student file imports
  • Previously imported student records that are not part of subsequent imports as identified by Student ID will be archived
  • When a student is archived, any previously uploaded data other than the required data fields is erased
  • Student Awards and Roster Memberships are not erased with additional updates, whether the student is archived or not.

FOUR REQUIRED FIELDS: (The date field must be named as shown)

  • FIRST_NAME
  • LAST_NAME (This field can alternatively be labeled LastName)
  • STUDENT_ID
  • CURRENT_GRADE

The remaining 22 data fields are all optional. To include these fields they must be named as shown below.
